What is an asset register?
An asset register is the single list of everything an organisation owns and needs to account for: plant, equipment, tools, vehicles and fixtures. Each entry records what the asset is, a unique identifier, where it is, who holds it, what it cost and its condition. It is the record auditors, insurers and finance work from.
What should an asset register include?
At minimum: a unique asset ID or tag number, description, category, serial number, location, assigned person or site, purchase date, purchase cost and current status. Registers used for finance also carry depreciation method and written-down value; registers used for maintenance carry service intervals and last service date.
Can I use a spreadsheet as an asset register?
Yes, and a spreadsheet is a reasonable starting point. It stops scaling when several people need to update it at once, when assets move between sites, or when you need history rather than a current snapshot. At that point the register needs to live somewhere with per-asset audit history.
