The challenge

Maintenance managers drowning in admin instead of preventing failures

Maintenance managers spend too much time chasing work orders, tracking down service history and managing parts. The tools they have were built for accounting, not for keeping assets running.

Work orders managed in spreadsheets or email

Maintenance requests come in via phone calls, texts, emails and sticky notes. There is no central queue, no priority system and no way to track what has been done versus what is outstanding. Work falls through the cracks and breakdowns follow.

Preventive maintenance based on guesswork

Service schedules run on calendar intervals because nobody knows the actual hours or mileage. Some assets get over-serviced, wasting labour and parts. Others are under-serviced and fail between intervals.

No visibility on parts inventory

Technicians arrive at a job only to find the required part is not in stock. Parts usage is not tracked against assets, so you cannot forecast demand or identify which machines consume the most spares.

Maintenance costs are a black box

Labour, parts and contractor costs are scattered across invoices and accounting codes. Nobody can tell you the total maintenance cost for a specific asset, let alone whether it is cheaper to repair or replace.

Work orders

Work orders that flow from request to completion

Maintenance requests can be entered manually, generated from a configured form-submission automation or produced by an enabled maintenance schedule. Confirm the device, provider, delivered location or telemetry fields and rollout scope. A failed submission doesn’t create follow-up work by default. Configure and test any task or work-order automation before rollout.

  • Manual, configured form-follow-up and scheduled work-order paths
  • Priority, category and assignment with drag-and-drop scheduling
  • Technician phone and tablet workflow with bounded offline capability
  • Parts, labour and cost recording per work order
  • Completion photos and an optional review workflow

Preventive schedules

Service schedules driven by data, not calendar guesses

Confirm the device, provider, delivered location or telemetry fields and rollout scope. Choose and test the schedule trigger and manual, per-asset automatic or batch generation mode.

  • Hour-based, odometer-based and calendar-based triggers
  • Telematics counters only after provider delivery is confirmed
  • Work-order defaults confirmed with a controlled schedule test
  • Configured notification emails to selected Person records
  • Completed service history stored against each asset

Get started

How maintenance teams roll out MapTrack

Setup depends on data quality, labels, workflows and team size. Start with one asset class or site, test one field workflow, then expand.

Pilot

Import assets and set schedules

Confirm the device, provider, delivered location or telemetry fields and rollout scope. Choose and test the schedule trigger and manual, per-asset automatic or batch generation mode.

Configure

Configure work order workflows

Set up work-order categories, priority levels and assignments. Configure parts inventory and test any notification action using a selected Person with a valid email address. Configured notification actions send email to selected Person records with a valid email address.

Expand

Roll out to technicians

Technicians open MapTrack on a phone or tablet and start working through assigned work orders with asset context. Train on completion workflows, explicit parts transactions and photo evidence capture.

Key features for maintenance managers

Everything a maintenance manager needs to schedule, assign, track and cost maintenance work across every asset.

Less admin, more uptime

Your maintenance team deserves better tools than email and spreadsheets

MapTrack replaces scattered maintenance processes with one platform for work orders, schedules, parts and costs. Your team spends less time on admin and more time keeping assets running.

Frequently asked questions

Common questions about maintenance management, work orders, scheduling and parts tracking.

MapTrack keeps work orders, preventive schedules, service history, parts records and recorded work-order costs together. Technicians can open assigned work on a phone or tablet with asset context and service history. Owners can review current work-order and service activity in the available maintenance views; confirm any backlog, completion-rate or cost-breakdown report before relying on it.

Schedules can use time or meter triggers. Choose manual, automatic per asset or automatic batch generation, then confirm the baseline and work-order defaults with a controlled test. The current MapTrack app can show the latest GPS fix for an asset when a device feed is configured. MapTrack Telematics is separately scoped and can provide live GPS, geofences, trip history, odometer and run hours. Confirm any GPS, OEM, BLE or satellite provider, hardware, fields, delivery into the current app and commercial scope before rollout.

MapTrack includes parts and inventory records with stock levels, minimum and maximum quantities, reorder status and cost fields. Parts can be recorded as work-order cost lines, while stock changes require an explicit inventory transaction such as issue, consume or install. Completing a work order does not deduct inventory automatically.

Technicians can open work orders from a phone or tablet, review the asset context, record parts and labour, attach photos and close the work. Configured notification actions send email to selected Person records with a valid email address. Previously loaded forms can be submitted offline. Once a work order is loaded on the device, crews can complete its procedures and checklists, record per-asset pass or fail outcomes, add time and costs, and move it to Completed before syncing after reconnection. Creating or first loading a work order, assignments, audits, setup, imports, exports and server-side automations need a connection. Test the exact field workflow before rollout.

Confirm the device, provider, delivered location or telemetry fields and rollout scope. Choose and test the schedule trigger and manual, per-asset automatic or batch generation mode. A failed submission doesn’t create follow-up work by default. A workspace owner can configure a form-submission automation to create a task or work order from selected results. Test the trigger, conditions and action with one controlled submission before rollout.

Work orders can record task time plus manual part, external and other cost lines, and completed work stays in the asset service history. Confirm any asset-level roll-up, cost-per-hour, cost trend or repair-versus-replace report before relying on it.
