The challenge

Why operations managers spend more time chasing information than managing

Most operations managers are running on a patchwork of spreadsheets, phone calls, telematics platforms and email threads. The result is reactive management. You find out about problems after they've become emergencies, and you can't prove the value of the assets you're responsible for.

Asset records are hard to review across the operation

When locations, assignments, inspections and service records sit in different systems, it is difficult to review the current record. A shared register gives the team one place to investigate exceptions.

Chasing people for information instead of managing

Half your day is spent asking supervisors, technicians and warehouse staff for updates on asset locations, maintenance status and availability. The information comes back in texts, phone calls and emails. If it comes back at all. A system where data flows in from the field changes everything.

Reactive firefighting instead of proactive management

Without configured schedules and follow-up actions, teams may not review maintenance or inspection exceptions until they become urgent.

Investment decisions lack operational evidence

Assignments, audits, meter readings, maintenance history and entered costs can provide a better evidence base. Confirm the exact report required for each decision.

Manual reporting from multiple disconnected systems

Asset data may live in spreadsheets, telematics portals, maintenance logs and email threads. MapTrack can consolidate supported operational records, while integrations and report outputs should be confirmed before rollout.

Visibility

Asset visibility and team accountability

MapTrack keeps asset records, saved locations and deliberate assignment history together. A scan identifies the asset. Assignment, return, transfer and audit actions are deliberate connected steps. Confirm the device, provider, delivered location or telemetry fields and rollout scope.

  • Current asset and saved-location records
  • QR identification before a deliberate connected action
  • Latest GPS fix where a device feed is configured
  • Assignment history against people and saved locations
  • Provider and delivery scope confirmed before GPS rollout

Proactive

Configured alerts and follow-up

Configured notification actions send email to selected Person records with a valid email address. Current public guidance confirms notification email and Create task. Confirm any other automation action before relying on it.

  • Configured maintenance email actions
  • Configured date-based email actions
  • Create task actions after tested conditions

Maintenance

Maintenance oversight without micromanaging

Choose and test the schedule trigger and manual, per-asset automatic or batch generation mode. Work-order status, entered time and costs, and service history remain available for operational review.

  • Preventive schedules with time or meter triggers
  • Work orders assigned and completed on mobile in the field
  • Task status and filter views
  • Entered time, part, external and other cost lines
  • Service history retained against each asset

Field adoption

Mobile tools your field teams will actually use

Field adoption determines whether the register stays useful. MapTrack provides phone and tablet workflows for QR scanning and forms. Previously loaded forms and work orders can be completed offline within documented boundaries, then synced after reconnection. Creation, setup, imports, exports and server-side automations need a connection.

Confirm current pricing, plan inclusions, user entitlements, trial and subscription terms directly with MapTrack before relying on them. Use the documented workspace roles and test the required site, division or contractor access before rollout.

Get started

How operations managers roll out MapTrack

Setup depends on data quality, labels, workflows and team size. Start with one asset class or site, test one field workflow, then expand.

Pilot

Import your asset register

Use the connected CSV/XLSX import wizard to map and import asset records. Locations and people have separate supported import flows. Historical maintenance and compliance records need their own confirmed migration scope.

Configure

Configure alerts & schedules

Configured notification actions send email to selected Person records with a valid email address. Choose and test the schedule trigger and manual, per-asset automatic or batch generation mode.

Validate

Label and onboard field teams

Attach QR labels, give field teams the required role and test scanning, forms and work orders on their devices. Setup depends on data quality, labels, workflows and team size. Start with one asset class or site, test one field workflow, then expand.

Expand

Expand and optimise

Review the captured records, refine configured actions and expand to more sites or asset classes after the pilot workflow is reliable.

Take control

You can't manage what you can't see, and right now, most operations managers are flying blind

MapTrack keeps supported operational records together and lets owners configure email or task actions for the conditions they have tested.

Frequently asked questions

Common questions from operations managers about asset tracking, utilisation and reporting.

Asset tracking software gives operations managers a shared register for assets, saved locations, assignments, maintenance, inspections, documents and entered costs. MapTrack also supports configured notification and task actions, with GPS delivery confirmed separately before rollout.

MapTrack shows current connected asset, assignment, audit, task and maintenance records. A scan identifies the asset. Assignment, return, transfer and audit actions are deliberate connected steps. The current MapTrack app can show the latest GPS fix for an asset when a device feed is configured. MapTrack Telematics is separately scoped and can provide live GPS, geofences, trip history, odometer and run hours. Confirm any GPS, OEM, BLE or satellite provider, hardware, fields, delivery into the current app and commercial scope before rollout.

Assignments, audits, meter readings, tasks and the Asset Performance report can provide utilisation evidence. Define the decision and required filters first, then confirm the exact report and export in a pilot.

Configured notification actions send email to selected Person records with a valid email address. Current public guidance confirms notification email and Create task. Confirm any other automation action before relying on it.

MapTrack keeps operational records in one system. The current report hub is available to the Primary Owner and includes Activity, Leaderboard, Servicing, Asset Performance, Depreciation and Trash reports. Asset Performance supports CSV export. Distribution on a schedule and a general PDF export are not current capabilities.

Schedules can use time or meter triggers. Choose manual, automatic per asset or automatic batch generation, then confirm the baseline and work-order defaults with a controlled test. A failed submission doesn’t create follow-up work by default. A workspace owner can configure a form-submission automation to create a task or work order from selected results. Test the trigger, conditions and action with one controlled submission before rollout. Work orders can carry assignees, procedures, photos, time entries and entered costs, with service history retained against the asset.

Asset records and work orders can retain entered values and cost lines, and the Primary Owner has Asset Performance and Depreciation reports. Confirm any required hire, rental, site, business-unit or total-cost-of-ownership calculation before relying on it.

MapTrack can organise assets, locations, transfers, forms and reports across an operation. Current product guidance documents the Primary Owner plus Admin, Field User, Viewer / Scanner and Form Submitter. Choose the least access each person needs and test the exact site, division or contractor workflow before rollout.

MapTrack is designed for field use on phones and tablets, with QR scanning and mobile forms. Previously loaded forms can be submitted offline. Once a work order is loaded on the device, crews can complete its procedures and checklists, record per-asset pass or fail outcomes, add time and costs, and move it to Completed before syncing after reconnection. Creating or first loading a work order, assignments, audits, setup, imports, exports and server-side automations need a connection. Test the exact field workflow before rollout. Confirm current plan terms and user entitlements before rollout.

Setup time depends on the quality of the existing data, label rollout, workflows and number of people involved. Start with one asset class or site, test one field workflow, then expand after the first crew is working reliably.
