What we track

Asset classes across their operational life

Use one asset register across the asset classes in scope, then configure the fields and workflows each class needs.

  • Heavy plant & earthmoving equipment
  • Vehicles, utes & fleet assets
  • Power tools & portable equipment
  • IT assets (laptops, servers, phones)
  • HVAC, mechanical & building services
  • Safety & compliance equipment
  • Medical & laboratory instruments
  • Office furniture & fixtures
  • Generators, pumps & temporary plant
  • Leased & hired equipment
  • Facilities & building infrastructure
  • Specialist tooling & calibrated instruments

The challenge

Why businesses overspend on assets they don't understand

Most organisations know what they paid for an asset but have no idea what it actually costs to own, operate and maintain. Depreciation lives in accounting spreadsheets disconnected from the asset's real condition, location and usage, making every capital decision harder than it should be.

Depreciation tracked in spreadsheets disconnected from asset data

Finance may maintain depreciation schedules separately from operational asset records. The owner-configured depreciation report can calculate from mapped asset fields, while your organisation remains responsible for accounting treatment and reconciliation.

No visibility on total cost of ownership

Acquisition cost is recorded, but maintenance spend, operating costs and downtime are scattered across invoices, work orders and someone's memory. Without aggregated TCO data, you can't benchmark asset classes, identify cost outliers or budget accurately for replacements.

Repair-vs-replace decisions made on gut feel

When an asset breaks down, the decision to repair or replace is made without data. No current book value, no cumulative maintenance cost, no utilisation history. Assets are either replaced too early (wasting capital) or run to catastrophic failure (costing more in downtime and emergency repairs).

Assets sitting idle with utilisation unknown

Without utilisation data, you don't know which assets are overworked and which are sitting idle. Underused assets tie up capital and depreciate without generating value. Overused assets fail prematurely. Purchasing decisions are based on requests rather than actual need.

Disposal and write-off processes are informal

Assets are scrapped, sold or written off without a documented process. The asset register doesn't reflect reality. Finance discovers disposed assets months later during audits. There's no trail for insurance claims, tax deductions or compliance reporting.

Lifecycle register

Asset register and lifecycle tracking from day one

Configure the asset fields your team needs, then keep assignments, forms, files, maintenance and status changes with the asset record. Use supported custom fields for acquisition, warranty and useful-life data where required.

  • Configurable asset register with supported custom fields
  • Documented statuses including available, deployed and written off
  • QR identification and supported external-barcode confirmation
  • Assignment and transfer history with timestamps
  • Document attachments - invoices, warranties, certificates

Condition & cost

Review condition and recorded costs by asset

Use published forms for condition evidence, the configured depreciation report for book-value context and work-order or service records for recorded costs. Define the repair-or-replace rule outside the product and review these records together.

  • Configured condition responses in published forms
  • Straight-line, declining-balance and sum-of-years report methods
  • Parts, labour and external costs recorded on work orders
  • Replacement reviews based on your own defined decision rule
  • Configured forms can capture photos and timestamps

Total cost of ownership

Keep recorded maintenance costs with the work

Record parts, labour, external and other costs on work orders, and labour or material costs on service entries. Confirm any cross-record aggregation or complete TCO calculation separately.

  • Work orders with parts, labour and external costs recorded
  • Service entries can include labour and material costs
  • Owner-only Asset Servicing and Asset Performance reports
  • Configured notification email to selected Person records
  • Service history available on the relevant asset

Finance meets operations

One platform for finance and field teams

MapTrack gives field teams scanning, forms and work-order workflows while account owners can review configured depreciation and asset-performance reports. Confirm the finance handoff and access model before rollout.

Confirm current pricing, plan inclusions, user entitlements, trial and subscription terms directly with MapTrack before relying on them. Use the documented workspace roles and test the required site, division or contractor access before rollout.

Get started

How teams roll out asset lifecycle tracking

Setup depends on data quality, labels, workflows and team size. Start with one asset class or site, test one field workflow, then expand.

Pilot

Import your asset register

Import supported asset fields and active custom fields, then configure files, depreciation-report mappings and workflows separately.

Configure

Configure depreciation & costs

Map purchase date, purchase price, useful-life and residual-value fields in the owner-only depreciation report. Confirm any accounting-system exchange separately.

Expand

Set up field workflows

Configure QR labels for identification, published forms and maintenance schedules, then test the exact field workflow with one asset class.

Expand

Roll out to teams

Assign the documented roles, test field access and confirm which owner-only reports finance needs before expanding to more asset classes or locations.

Know what you own

Keep the records needed for an informed asset review together

Use configured depreciation, asset-performance, service and work-order records as inputs to your own financial and replacement process.

Frequently asked questions

Common questions about asset lifecycle management, depreciation tracking and total cost of ownership.

Asset lifecycle management software keeps the operational records for an asset together from acquisition through active use and write-off. MapTrack connects the asset register with assignments, files, forms, maintenance and service history. Account owners can also configure a depreciation report from mapped asset fields.

An account owner can configure the depreciation report by mapping purchase date, purchase price, useful-life and residual-value custom fields, then choosing straight-line, declining-balance or sum-of-years calculation. Confirm the accounting and tax treatment with your adviser before using the result for financial reporting.

Work orders can record parts, labour, external and other costs, while service entries can record labour and material costs. MapTrack does not currently document a complete total-cost-of-ownership roll-up across acquisition, insurance, operating and compliance costs, so confirm the required calculation and reporting workflow before relying on it.

MapTrack can keep depreciation-report data, service history, recorded work-order costs, forms and asset-performance information available for review. It does not currently document automatic repair-or-replace thresholds or replacement alerts, so define the decision rule outside the product and validate the fields needed to support it.

The owner-configured depreciation report supports straight-line, declining-balance and sum-of-years calculation. The configuration maps purchase date, purchase price, useful-life and residual-value fields at report level. Confirm any export or accounting-system handoff before relying on it.

The owner-only Asset Performance report shows utilisation over time. Assignment, meter and supported GPS records can provide additional operational context. Confirm any automatic telematics feed and any replacement threshold separately before relying on it.

Assets include a written-off status, and supporting notes and files can stay with the asset record. MapTrack does not currently document a dedicated disposal, sale, trade-in, proceeds or depreciation-close-out workflow, so confirm those requirements before rollout.

A current asset register, service history and utilisation report can support purchasing, redeployment and maintenance decisions. The financial effect depends on the process and data quality, so measure the result against a defined baseline rather than assuming a saving.

MapTrack provides on-demand exports on supported surfaces and documented public API resources for assets, categories, custom fields, locations, people and account users. Finance or ERP exchange beyond those resources requires separately scoped integration work.

Setup time depends on the quality of the existing data, label rollout, workflows and number of people involved. Start with one asset class or site, test one field workflow, then expand after the first crew is working reliably.
