Paper and spreadsheet-based work orders seem simple until jobs go missing, priorities are unclear, costs are untracked and nobody can prove what was done, when and by whom. The hidden cost of manual work orders is far greater than the paper they are written on.

Paper work orders get lost, damaged or forgotten

Paper dockets disappear between the workshop and the office. Jobs are completed but never recorded. Service history has gaps because the paperwork was lost in a ute, left on a bench or thrown away after the job. You cannot manage what you cannot find.

No priority system means urgent work gets buried

When every work order looks the same on a whiteboard or spreadsheet, urgent safety-related jobs compete with routine maintenance for attention. Critical defects sit in a queue behind oil changes. Without a priority system, the most important work is not necessarily done first.

No visibility into work order status or completion

Supervisors may not have a shared view of which jobs are in progress, overdue or complete. They find out by calling technicians, checking the workshop or waiting for paperwork to arrive. By then, deadlines may have been missed and the information may be out of date.

A work order can retain time entries and entered part, external or other cost lines. An inventory transaction can reference a task, but issue or consume is a separate connected stock action. Completing the work order does not automatically deduct inventory. Confirm any budget or total-cost-of-ownership calculation before relying on it.

The task list provides Table, Kanban and Agenda views with status and filter controls. Current public guidance does not document the listed resolution-time, technician-performance, backlog, parts-consumption or general CSV/PDF work-order report pack. Confirm exact KPI and export requirements in a pilot.

MapTrack can be evaluated as a field asset, QR and forms layer around SAP, Oracle, Pronto, IBM Maximo, Dynamics 365 and other ERP or EAM systems. MapTrack does not currently ship a native or prebuilt ERP connector. ERP work orders, evidence and status exchange must be scoped and built for the customer, while the ERP remains the system of record for planning, approvals, finance and master data.
