An emergency evacuation diagram is the wall-mounted plan that shows people in a building where they are, where the exits are, and where to go in an emergency. Under AS 3745-2010, the Australian standard for planning for emergencies in facilities, a compliant diagram must include the designated exits, the location of fire and emergency equipment, the assembly area or areas, a clear you are here marker showing the reader's position, a legend of the symbols used, the direction of the diagram relative to the building, and a validity date. How to use this emergency evacuation diagram

  1. AS 3745 requires the diagram to display a date, and the diagram must be reviewed at least every five years, so the date on the wall is part of compliance, not decoration.
  5. Validate, display and review: Have the completed diagram checked against the standard by your fire safety adviser or emergency planning committee, then display it at the confirmed locations at a legible size. Record the validation and set the next review, and repeat the check whenever exits, layout or emergency equipment change rather than waiting the full five years.

How often should you complete this form?

Under AS 3745-2010, evacuation diagrams must be reviewed and validated at least once every five years. That is the maximum interval, not a target to drift towards, and the date should be visible on each displayed diagram.

Beyond the five-year cycle, a diagram must be updated whenever something it shows changes: a new or removed exit, a change to the building layout, a relocation of fire or emergency equipment, or a change to the assembly area. Treat any of those changes as a trigger to revise and revalidate the affected diagrams immediately, because an accurate current diagram is what makes an evacuation work, and a five-year rule is no help if the building changed last month.

In many buildings a fire safety adviser or a specialist provider prepares the diagrams, but accountability for having them in place and up to date rests with the facility. This connects to the legal duty to prepare and maintain an emergency plan under the model WHS Regulations (regulation 43), enacted in each state and territory (in Victoria, the equivalent duty is under the Occupational Health and Safety Regulations 2017).

An emergency plan is the full documented set of arrangements for responding to emergencies in a facility: the procedures, the roles such as wardens, the response to different emergency types, training and the evacuation strategy.
