Before you apply the label

Before applying an asset label, confirm the asset record, clean the surface, choose the scan location and check whether adhesive is suitable or a quoted metal tag is needed.

Start with the asset record and the workflow. Know which asset the label belongs to, what the QR code should open and whether the worker needs to scan it for check-out, inspections, faults or history. Then inspect the asset surface. Avoid loose paint, oily patches, textured plastic, high-heat areas, moving parts, edges that flex and places that get scraped by boots, chains or pallets.

If the asset is a normal clean metal, painted, powder-coated or hard-plastic surface, an adhesive QR label is usually the right starting point. If the asset needs holes, rivets, screws or cable ties, move to a quoted aluminium, stainless steel or steel tag before printing the full order.

Surface preparation steps

Clean the placement area, remove dust and oil, let it dry, then apply the label with firm pressure. Surface prep is what gives the adhesive a chance to bond properly.

Placement by asset type

Place labels where they are visible, protected and safe to scan. Hand tools need compact protected spots; trailers and plant need larger labels placed for safe standing-distance scans.

On hand tools, choose a flat, low-wear surface that does not sit under a grip, trigger, battery rail or abrasion point. On cases and kits, place the label where it is visible when the item is stored. On plant and trailers, pick a panel that workers can reach and scan from outside the danger zone, avoiding hydraulic spray, hot exhaust, hinges and pinch points.

For containers, site boxes and larger assets, label visibility matters. A larger QR label may be easier to scan and more useful as an ownership signal. The label should not be hidden in a spot that only the installer knows. Scan verification after application
